Kathy - You can freeform enter any source you want. Any template will do,
but if you decide to filter by Source Type you might want to be consistent
here. Then go to the Formatting tab, with the Toggle Codes set to display
the variables. Delete all of the variables in the Formatting for Primary
Citation, Secondary Citation, Bibliography and type in directly the
information that you want.
To keep track of your documents for your trial exhibit notebook, you could
put the actual document title in either the Name or the Title field, and the
Exhibit Number into the other. Just be consistent. Then you can filter the
Source list by either the Title or Name. Let's say that you put the Exhibit
Numbers in the Name field and the title of the document in the Title field.
Then you decide you need to find a copy of that contract which is the center
of the litigation. If you remember the Exhibit (Document) Number, you can
sort the Sources by Name; if you don't recall the Exhibit Number but
remember that it was the Contract Dated 14 Aug 2002 and that is the way you
had entered it into the Title field, you can sort by Title. This gives you
the ultimate flexibility.
I have worked on a lot of trials and had never thought of using a program
like this to keep track of trial exhibits, litigation files, or discovery.
This is brilliant.
For regular sources, this is what I do. I put the actual title in the
Source Title field. In the Name field I have an abbreviation system that I
use. Here are some actual samples of the abbreviation codes that I use:
BK * CASPER, Ebenezer Hanks Story
BK * ANDERSON Cousins by the Dozens
MARR * BK KY Graves v.2
FAMPAP ANDERSON, John & Desc. (Susan Renfro Anderson)
OB CASPER Adeline (McCLURE) 1941
CEN KY Graves 1870
These are just a few. Clicking on the Header of the Sources List lets all
like items sort together if I use the Sort by Name. For example, all books
(BK) will sort together, all marriages (MARR), all obits (OB), birth
certificates (BC), death certificates (DC), all censuses (CEN), etc. If you
develop a good system and adhere to it, it really makes things very easy to
find and sort.

I discovered the problem which may help others and may be important for
Bill in upgrading the program.
1. The "Add New" button continually refused to active, even when I
typed text in the second blank on the top of the Select Source Dialog.
2. When I put some text in that box and then hit my tab button more
than once, the program crashed -- three times!
3. I thought about Bill's comment, "You will also notice that the
source list is automatically filtered by what you type, so if there
already is a source with a name that begins with what you have typed, it
will appear in the list."
In this particular project, ALL of my sources begin with the phrase:
[Document No. 001], or [Document No. 002]. I begin all sources this way
because I'm preparing documentation for court and the documents go into
a notebook with numbered poly-vu sheets. This is also why I asked Bill
for freeform source entry -- the templates are frustrating and do not
generally work for my type of citations, etc.
I therefore just typed the letters xx (to test the feature) and lo and
behold, the "Add Source" button activated! So even when the third word
(and after) of my source title was different than others, it still would
not activate the "add source" button.
This is going to be a problem for other sourcing because if you cite
sources according to Evidence!, many sources begin with the persons
name. So, for example, You might type "John Smith, birth
certificate...." or "John Smith, death certificate..." And what about
census returns that begin "John Smith household..." Using my example
above with the document numbers, the "Add Source" button will not
activate either.
Can this be fixed, Bill?
On another note, I'm still not sure I'm using the source feature
correctly to NOT have to use the templates and merely type a complete
citation in Doc Title and then copying it into the Name field. I do not
use any of the other features. The reports are coming out okay. Am I
doing this right? I don't find a "freeform" feature.
